Digital Guidebooks ("we", "us", "our") operates the digitalguidebooks.com website and the digitalguidebook.co application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

Account Data

When you create an account, we collect your name, email address, company name, and billing information. Payment processing is handled by Stripe; we do not store your full credit card number.

Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, guidebook views, email capture counts, and device/browser information.

Guest Data

When guests use a guidebook, we collect information on behalf of the tour operator who created it. That operator decides which of these are switched on:

• Email address and first name, given at the access screen or when joining a mailing list.
• Photos a guest chooses to add to a photo wall, with any caption and credit they write. The location and other hidden details a camera records are removed before the photo is sent.
• Survey answers and recommendation scores given at the end of a tour.
• What was done inside the guidebook: which stops were opened, which links were followed, whether a survey was answered. This is used to show the operator which parts of their experience guests engage with.

A guest who declines tracking is not recorded: no row is written, rather than a row with the name removed. Staff previewing a guidebook are excluded from all of it.

We use essential cookies to maintain your session and preferences. We may also use analytics cookies to understand how the Service is used. You can control cookie settings in your browser.

2. How We Use Information

• To provide, maintain, and improve the Service
• To process transactions and send billing-related communications
• To send product updates, feature announcements, and support messages
• To monitor usage patterns and optimize performance
• To detect and prevent fraud, abuse, or security incidents
• To comply with legal obligations

3. Third-Party Services

We use the following third-party services to operate the platform:

• Stripe: Payment processing and subscription management
• Supabase: Database hosting, authentication, and file storage
• Netlify: Website hosting and form processing
• Cloudflare: Encrypted database backup storage, and bot protection on our sign-in and sign-up forms
• Resend: Sending email, including account email and the emails guidebooks send to guests
• Google Maps: Showing maps and looking up addresses
• Google Analytics: Website and guidebook analytics, loaded only where consent allows
• Sentry: Error monitoring, so we can find and fix faults

Each of these services has its own privacy policy governing how they handle data. We only share the minimum information necessary for them to perform their function.

4. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.

Guest data is kept to a schedule:

• Records of what a guest did inside a guidebook are deleted after 18 months.
• Detailed analytics records are deleted after 24 months. Daily totals are kept, so an operator's long-term charts continue to work without holding a record of individual visits.
• Survey answers, recommendation scores and photos are kept, because they are the operator's record of their own business, but after 24 months the email address is removed from them. The answers remain; the person is no longer identifiable in them.
• Photos removed from a wall are deleted, along with the image files, after 30 days.
• Guest contact lists belong to the operator and are kept while their account is open. They are deleted when the account is.

A guest may ask an operator to delete their data at any time. Doing so removes their contact record, survey answers, recommendation scores, photos including the image files, and their activity history.

Backups. We keep backup copies of our database so the service can be restored after a failure, a mistake, or accidental data loss. Backups are stored in encrypted storage and are automatically deleted after 30 days. Because a backup is a snapshot taken at a moment in time, a recent backup may still contain data for a short period after we have deleted it from the live service. We do not use backups to bring back data you asked us to delete: if we ever restore from a backup, we re-apply every deletion request made after that backup was taken, and we keep a record of those requests specifically so this can be done.

5. Data Security

We implement industry-standard security measures to protect your data, including encrypted data transmission (TLS/SSL), secure authentication, and access controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Your Rights

You have the right to:

• Access your personal data and request a copy of it
• Correct inaccurate or incomplete data
• Delete your account and associated personal data
• Export your data in a portable format
• Opt out of non-essential communications

7. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal data from children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the effective date. Your continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
